How To Create Data Collection System

As the name signifies data collection can be created in a number of ways. The good examples of data collection system are like a library book checkout system, a telephone directory, an e mail contact, a database, a system of accounting, a filing cupboard and a yearly planner like a calendar or a daily planner. In fact, it is a system in any form that collects data and arranges in a particular style to help one to see and analyze when required.

The arrangement sometimes is done in such an easy way as entering the names in an alphabetical way, and at times it is too complicated just like the government records of information in the military. Anyway all these follow and have the same objective, so as to arrange data in a way that helps one retrieve the data one needs without having to probe into each and every data in the whole collection or file. Generally the other different systems mentioned above do not have the method of compilation and assorting and differ in this method.

 

Generally the phrase “database” is used even without understanding how they can vary from each other and how complicated they may be. In fact, the final result of collection of data is called a database. It exactly works like the punching or marking of a library book when we sign out a book from the library, then we remember a data collection system.

 

Once a book is checked out it is marked in the card as when it is due for return. It is then filed in a file container. Of late computers do this job and hence we have a computer based data collection system. In this way the orderliness makes us aware when the books are due to be returned with the due day. With the names of the books on the cards, the cards could be arranged in alphabetical order.

 

But, this will not be of much help to the library as one should check the entire twenty six alphabets and each card to find out when each of the books are due for return. Hence, the organization is the most suitable method to be in order of numbers from one to thirty one, by which the librarian can find out the books which are due, to be returned and on what particular day of the month.

In the modern times most of the businesses use a data collection system and they have a computer based data collection system too. This is used to maintain a record of the names, address of their customers, sales data, their dues to be received and the time chart of the work done by their employees. Although, the information collected is different, they organize it for further use; this is what is called the correct usage of a data collection system.
