One of the important change management activities that you should consider before you implement it is planning and preparation for that. Analyze the change request and see whether that change is necessary. See how it will improve the existing processes and the business. If you think that it is going to give a positive impact on the existing system then you can consider implementing it.

Calculate the risks involved in implementing the change management. The cost associated with it should also be evaluated. Check which of the departments and the users are affected by the requested change. Involve them in the analysis of impact of the request. You would get feedback from them on it. A simple brainstorming session would be fine in getting the details of the impact on the existing system.

Find out the key personnel in the organization who will influence others in their department and involve them in implementing change management. Make the key personnel follow the change sincerely and other will follow.

Communication is an important part of change management. Proper communication to all the departments and the users concerned is necessary for effective implementation. List down the users and the departments that are affected and make an email group of it. Send the progress to them periodically so that they are all informed of it.

Proper training to the users is also necessary. Make it clear to the users, about the reason for making the change in the process and inform them how it is going to benefit them and the organization. If needed you can organize a change management workshop and invite those who are needed to that workshop. On successful completion of the workshop they will come to know of the importance of the change that the organization is undergoing.
