Using change management procedures to implement change requests

Certain steps are to be followed while implementing a change request. These steps followed constitute the change management procedures. In general these steps are followed in every organization with a minor change in the intermediate steps.

The first step in the change management procedures is to submit a change request to the management or the change management committee. Usually they have a format in which this request has to be submitted. If there is an intranet available in the organization they would have these forms in it which can be used to submit a change request.

A change request would have a description of the change to be made, the email addresses of the management person to whom this request should be sent to get their opinion, the procedures for implementation, the impact of the change, the date and the time the change has to be in place and the risks involved.

Once the change request is got, it is reviewed by the concerned support staff and a message is sent to the concerned departments in which the requested change would have an impact. If needed a meeting is organized to get the views of the concerned departments on the change request. Any amendment to the change request is made after that and it sent for the approval of the management.

If the requested change is going to affect the other processes in the organization, it should also be noted down and communications sent accordingly. When the change is being implemented, the existing processes should not stop. It is taken care that there is not any major impact in the existing processes while it is being implemented.

Once the change has been approved it is implemented and the quality audit team has to approve the changes done before it goes live. After implementation the impact of the change done on the existing process and the improvements seen are measured. Any further tuning can be done to further improve the process so that change done if effective.
